SaaS ROI Calculator
Calculate the real return on any software purchase — payback, net benefit, and ROI %.
Fully-loaded — salary + benefits + overhead, ÷ 2,080.
Optional — new sales, faster cycles, reduced churn.
Software vendors love quoting "10x ROI" in their decks. This calculator gives you the real number for your team — based on hours saved, fully-loaded hourly rates, and any incremental revenue the tool unlocks.
Use it to justify a purchase to your CFO, compare two competing tools, or pressure-test the upgrade your sales rep keeps pushing.
ROI % = (Total annual benefit − Annual cost) ÷ Annual cost × 100
where Total annual benefit = (Hours saved/week × 52 × Hourly rate × Users) + Extra revenue attributable to the tool.
Most software underperforms because nobody bothered to model it. A $15k/year tool that saves each of 10 reps 4 hours/week at a $60 loaded rate generates $124,800 in annual time-savings — an 8× ROI even before any revenue lift. Without the model you can't defend the spend, kill the dud tools, or negotiate the renewal.
Worked examples
12-person sales team, $24k/yr CRM, saves 6 hrs/week per rep at $70/hr loaded, plus $50k in incremental closed-won from better pipeline hygiene. Result: ~370% ROI, payback in ~2.5 months.
$99/mo tool, 5 hrs/week saved at a $90/hr rate, plus $8k in extra revenue from better nurture flows. Result: ~30× ROI, payback in under a month.
- Using base salary instead of fully-loaded hourly rate (off by 30–50%).
- Counting 'hours saved' that don't translate to billable or strategic work.
- Ignoring switching cost and onboarding time in year 1.
- Double-counting revenue that other channels also touched.
